Certificate Issuance Services (for Current Students)

Certificates can be issued through convenience stores, automatic certificate issuance machines and service counters as described below.

Convenience Stores

Service Overview This service allows for the issuance of required certificates through online application and payment via credit card or cash at the convenience stores nationwide, using their multi-copy machines. It also includes the option for mailing (online application mailing service) and the online PDF delivery service for electronic certificates.

Available Days/Hours 24 hours a day, 365 days a year (excluding maintenance periods for commercial services and operational downtime by the university).

Important Notes
  • Non-degree students cannot use this service.
  • The printing deadline is 7 days from the application date (printing is not possible after midnight of the 8th day, and the issuance fee is non-refundable).
  • No refunds will be provided for mistakenly applied or issued certificates.
  • For "sealed" certificates, select the mailing option and check the "Desired" option for the "Sealed" mailing option.
  • Currently, the Ministry of Foreign Affairs does not accept certificates issued by convenience stores. If submitting certificates to the Ministry of Foreign Affairs, please apply via automatic issuance machines.

  • Certificates of Expected Graduation / Academic Record and Certificate of Expected Graduation are issued to students in their final year who are expected to meet graduation requirements at the end of the term.
  • Academic Record includes grades for all courses taken (including failed courses, except those from which a student has officially withdrawn within a specified period).
  • Certificate of Health is issued to those who have undergone the student regular health examination (all designated examination items must be completed). If precise examinations or re-examinations have not been taken, please contact the Office of Medical Services as you cannot apply for this certificate through this service.
  • An additional printing fee of 60 yen per page is required for printing at convenience stores.
  • For mailing, the following postal fees apply, and the fee remains the same even for the "sealed" documents:
    • Within Japan: Letter Pack Light, up to 10 items for a flat rate of 430 yen
    • For overseas: Please refer to the "Reply Postage (Overseas)" section at the bottom of this page.

To Those Who Have Received Certificates Issued Through This Service

Various certificates issued through this service are protected against forgery using POPITA technology. Those who have received a convenience store certificate from our university can verify the authenticity of the certificate using POPITA technology.

Certificate Issuance Services (For Alumni)

Certificates can be issued via Convenience Store Issuance Service, which is quick and convenient. Alumni before 1999, Non-degree students, or those who need certificates that cannot be issued via the Convenience Store Service should issue them "at the counter or by mail."

Convenience Stores

Service Overview This service allows for the issuance of necessary certificates through online application and payment either by credit card or in cash at the convenience stores nationwide, using their multi-copy machines. Additionally, issuance by mail (online application mailing service) and the online PDF delivery service for electronic certificates are available. The online application mailing service involves applying and paying online for the necessary certificates, which are then sent by traditional mail. The online PDF service provides a direct online transmission of electronic data (PDF) with a timestamp and electronic certificate to prospective employers or relevant parties.
  • Note: New registration is required for the first use of this service. After applying for registration, the university will verify the applicant's identity as follows and issue the initial password:
    • Applications submitted between 9 AM and 12 PM will be approved or denied by 5 PM the same day.
    • Applications submitted between 12 PM and 9 AM the following day will be approved or denied by 5 PM the next day.
  • Please note that no application processing will take place on weekends, holidays, or days the office is closed.
Eligibility Only those who graduated after the 2000 Academic Year (March 20, 2001) are eligible to use this service.

Please send requests via post or in person. As a general rule, requests will not be accepted via fax, telephone, or e-mail.

  • Certificates are issued in the name of the student at the time of enrollment.
  • Graduates of postgraduate courses should contact the Office of the Graduate School directly (daigakui@kufs.ac.jp).

  • Letters of recommendation (Japanese & English) will take about 10 days from the application (document arrival day).
  • Note: Depending on the type of certificate, it may take longer than the afore-mentioned periods.
  • Immediate issuance is not available, regardless of whether it is at the counter or by mail.

Please bring the following three items to the university:

  1. A copy of your ID
    • For Japanese certificates: Driver's license, health insurance card, My Number card, or residence card (front side only).
    • For English certificates: Passport (photo page only).
    • Name changes due to marriage or other reasons are not an issue.
  2. Certificate issuance fee
  3. Postage stamps (for reply postage)
    if you wish to receive the certificate by mail later. Not required if you're picking up in person.
    • If you wish for the certificate to be sent via traceable mail, bring an unused "Letter Pack Light" (JPY430) instead of postage stamps.
<For applications by mail>

Please mail the following four items to the certificate section of the university:

  1. PDF of the "Certificate Issuance Request Form" [refer to the end of the page]
  2. Copy of passport (photo page)
  3. Postage stamps (total amount including the issuance fee and return postage fee)
    • For applicants in Japan, the return postage fee may be substituted with a Letter Pack Light (JPY430), a postage-prepaid envelope.
    • Please note that excess stamps are non-refundable.
    • Please do not enclose cash, postal money orders, or revenue stamps.
    • When making an application from overseas via post, International Reply Coupons can be used instead.
    • Letter Packs can be purchased at post offices or convenience stores.

  • On the address on the lower right of the Certificate Issuance Request Form, please circle either Mr. or Ms., write your address in English, and be sure to include your postal code and telephone number.
  • Please inquire before applying if you need to send to countries not listed above.
  • Currently, shipments to Ukraine, Belarus, and Russia have been temporarily suspended.

Other Information

  • Certificates will be issued under the name you had while enrolled. For those who have changed their name in the past, due to the introduction of a new system, the name on the certificate will be the one you had while enrolled (applicable from April 1, 2022).
  • Excess postage stamps cannot be returned.
  • Letters of recommendation are written by the full-time faculty of our university. Please decide on the faculty member you wish to request a letter from and contact them directly. When doing so, ensure you get their consent to write the letter and inform them of the application destination and timing. If you cannot contact the requested faculty member, please inquire at Division of Academic Affairs. If there is a designated form, fill in the applicant's section in advance, and send it along with the application for issuance. (The document will be issued in a sealed format, and once issued, it cannot be opened.) If there is no designated form, please specify this on the application for issuance.
